Job Description:

This individual will be an integral member of Le Moyne College's Admission staff. Working closely with senior admission management, The Campus Visit Coordinator/In-House Admission Counselor is responsible for creating, managing, and helping to improve the visit experience for guests to campus. Responsibilities includes significant communication with prospective students and families as well as members of the campus community; data entry; material preparation; and visitor interaction. Additionally, this position will manage Student Ambassadors/Tour Guides. 

In terms of Admission Counseling, this position will manage group visits to campus and the schedule of presentations to visiting groups and information sessions. The In-House Admission Counselor will be the primary staff member responsible for meeting prospective students and families during the fall and spring travel seasons, as well as handling some of the weekly visit sessions. Minimal travel is required, but the person who takes this role will be asked to assist in local travel when needed and will be responsible for a local recruitment territory. 

An excellent attention to detail, a high level of initiative, a strong customer service mindset, and event planning skills are all vital to success.

PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS

  • Work directly with the Director of First Year Admission in overseeing the ambassador program; manage the training of the student ambassadors; provide on-site daily supervision of the ambassador staff; assign tours; create and manage the schedule for 30 student ambassadors, make necessary alterations throughout the day to accommodate staffing or visitor schedule changes
  • Alongside the office coordinator, prepare all materials for each individual visit day - individual schedules, day-at-a-glance, counselor/ambassador sheets, folders with name identification and pertinent sheets in each folder. Work with campus partners to ensure signage and directional information is concise and accurate
  • Coordinate day visits with academic departments and other areas of campus.
  • Oversee the day-to-day campus visit program; work with office coordinator to provide coverage for the entire visit area, oversee the phone coverage of the visit desk - fielding visit requests and monitoring student staff; prepare all reference materials pertinent for the area to readily respond to questions.
  • In working with the Student Ambassadors/Tour Guides, assist in creating training materials and sustaining website content and resources, and identify and maintain any social media outlets that can be utilized to enhance the volunteer program
  • Coordinate with the Director for Enrollment Marketing, to ensure messaging around visit programs is accurate and timely.
  • Assist efforts in organizing on campus enrollment events such as Open Houses, Accepted Students Day, yield receptions and information sessions.  Coordinate the departmental visit days in the spring.  
  • Interview students, participate in application decision making and act as back-up for local admission travel when needed
  • Successfully manage specific primary geographic territory by planning and implementing marketing and recruitment activities in each area. This will include minimal local travel in each of these areas that may occasionally require being away from home for extended periods which may range from days to weeks at a time
  • Evaluate applicants seeking admission to the college which will determine the ultimate admission decision. 
  • Coordinate the group visit program and manage the staffing of presentations from admission staff.  
  • Responsible for majority of interviews and information sessions during the peak travel times of the year 
  • Responsible for reviewing survey results of visits and making suggestions and changes for improvement based on feedback
  • Work with other admission staff members in establishing various Le Moyne student admission programs

Requirements:

  • Bachelor's Degree required
  • Experience in working in an admissions office environment
  • Comfortable working with professionals at varying stages in their careers
  • Must be able to engage prospective students and their guardians, while effectively communicating the value of a Jesuit and a Liberal Arts education utilizing various platforms 
  • Strong organizational skills
  • Event planning experience preferred
  • Strong presentation skills  
  • Ability to work independently and in a team environment
  • Ability to multitask and work with tight deadlines
  • Must be comfortable with technology and using various current software programs, preferably Slate
  • Ability to interact and work effectively with a broad range of campus constituencies
  • Must have a valid driver's license
  • Must be able to lift about 25-30 pounds to transport recruitment materials and or materials needed for various functions
  • Willingness to work some evenings and weekends 
  • Willingness to travel as needed
